Job Title: Administrative Assistant
Team/Unit: SEPT
Location: IRC – 2330 Midland Avenue
Hours: 17.5 hours per week; may require working irregular hours including evenings, weekends and some holidays
Rate: $22.82 per hour

Responsibilities:

SEPT administrative duties:
• Primary responsibility is to provide administrative support to the Settlement and Education Partnership In Toronto (SEPT);
• Administer the daily recording of SEPT staff members’ attendance in schools;
• Assist with summer program NOW/WIN preparation, update school information, compile client satisfaction surveys, compile monthly workshop schedules;
• Assist in sorting, rearranging SEPT school materials stored at the IRC location;
• Help distribute resources and promotional materials to schools;
• Assist in the organization of monthly team meetings, staff training and special events;
• Assist and act as backup in the absence of the SEPT Administrator with tasks of managing OCMS reports generating and bulk uploading client’s information; processing staff’s monthly expenditure claims, preparing reimbursement, etc.
• Other duties as assigned by the Program Manager.

Other administrative duties:
• Support agency’s recruitment tasks in the absence of HR Administrator.

Qualifications:
• Canadian post-secondary education or equivalent in administration or social services;
• Minimum one year of relevant experience, preferably in a not-for-profit setting;
• Knowledge of office management systems and procedures and proven experience as an office assistant;
• Excellent communication skills; verbal and written fluency in English, a second language commonly used by our clients would be an asset;
• Excellent organization skills and ability to manage time effectively and set priorities;
• Knowledge of and sensitivity to the multicultural communities;
• Strong interpersonal skills and experience in problem solving;
• Excellent attention to detail and ability to multitask;
• Able to work both independently and as part of a team in a fast-paced environment;
• Proficiency in MS office suite;
• Ability to cope with changes and be flexible in scheduling; willing to work some evenings and weekends.

Other Requirements:
• Ability to perform some physical activities (e.g. lifting and loading school materials and office equipment);
• Vulnerable Sector Screening is mandatory;
• Valid Ontario driver’s license and access to a car is preferred.
